Should You Rent or Buy an LED Screen?

The crossover is around fifteen to twenty events a year. Here is the arithmetic.

If you run more than about fifteen to twenty functions a year, buying works out cheaper over three years. Below that, hire. A 16 × 9 ft P3 wall costs ₹5–9 lakh installed; the same screen hired with rigging and an operator runs ₹35,000–₹80,000 per event.

On paper the crossover looks lower than fifteen events. It sits higher in practice because a permanent installation carries costs the table does not show: an operator you now employ or train, storage and handling if the screen moves, maintenance, and the fact that a fixed wall cannot be reconfigured for an unusual event.

The argument that is not about money

For a banquet hall, the strongest case for buying is not cost — it is risk. A rental crew arriving late on the morning of a wedding is a category of problem that does not have a solution at 9 a.m. A permanent screen removes it entirely, and it lets the hall be marketed at a higher rate with the screen included.

When hire is clearly right

  • Fewer than about a dozen functions a year
  • Events at venues you do not control
  • Screen sizes that vary a lot between events
  • Outdoor events, where an owned indoor wall is the wrong product anyway
  • Anyone testing whether a screen changes their business before committing capital
